Join us in our mission  to promote, communicate and amplify the influence of women in the workplace and beyond.  At our 25th ANNUAL nonpartisan, nonprofit conference, we will bring together 7,600+ attendees to connect, renew, and find inspiration in community. Please note that this is only an APPLICATION to exhibit. You will receive notification by email as to your status. All applications will be reviewed by the Conference committee. Although special consideration will be given to exhibitors who have exhibited in the past, it is NOT a guarantee of acceptance.

Highlights for this year's interactive exhibit hall include:

  • Women-owned business HUB featuring retail, service and B2B businesses
  • Wellness HUB with exhibitors and topical sessions on the Wellness Stage
  • Community HUB featuring local and national non-profits and community organizations
  • Learning HUB with breakout sessions and educational exhibitors
  • Career HUB with resume review, career coaching and career focused exhibitors
  • Networking and Connections HUB with peer networking activities

Important Information:

  1. There is no deadline to apply. However, we have LIMITED SPACE and applications will be reviewed as they are received and a booth is only confirmed once payment is received.  Special consideration will be given to local WOB businesses and non-profits.
     
  2. Applications will not be reviewed without a completed application.
     
  3. Payment information: credit card information will be required to be submitted at the time of application. The card WILL NOT be charged unless you are accepted. You will be notified of acceptance prior to your card being charged. If you apply by July 15th you will be given the option of paying a deposit only. 
     
  4. If you are interested in applying for all 3 of our fall events in one application simply select that option on the Booth Selection Page of the application.  Booth fees are the same for each of our 3 shows and will be charged separately on your credit card per show, if accepted.

  5. NEW DISCOUNTS AVAILABLE THIS YEAR:
    Early Bird Discount:  Exhibitors applying by May 15 are entitled to a $50 discount per 10'x10' booth ($100 for a 20'x10').
    Multi-Show Discount:  Exhibitors applying and accepted for all 3 shows will receive a $50 discount for each show.
    Referral Program:  Approved exhibitors are eligible to receive up to a $300 credit on their booth fees by referring additional exhibitors to our show(s).  Restrictions apply, please contact us for detailed information.
     
  6. DEPOSIT ONLY OPTION:  This is offered only to exhibitors who apply by July 15, 2024.  Exhibitor can elect to pay a $250 deposit if/when accepted.  If you select this option, final payment will be due by August 1, 2024 and will be automatically made using the credit card entered during the application process, unless otherwise updated by the exhibitor.  If the payment is declined for any reason, exhibitor will be notified by email and phone one time to make payment within 10 days.  If payment is not made, exhibitor will be canceled and the deposit will be lost.
     
  7. All correspondence regarding your booth will be sent by email. Please add exhibitors@txconferenceforwomen.org to your address book to ensure delivery. If there is a change in primary contact, it is your responsibility to notify us as soon as possible. If you have not received correspondence within one month of the applying, contact us to determine the status.
     
  8. NOT INCLUDED with the booth:  Conference passes, electricity, floor coverings or food.  Conference passes can be purchased on our main website. Electricity and floor coverings are not included, but can be purchased, if desired.  Detailed information will be sent to approved exhibitors.
     
  9. Proof of 501(c)3 non-profit status is required to receive the non-profit rate.   Acceptable forms of proof are a letter from the IRS or State Tax Agency indicating 501(c)3 status. Certificate of tax exemption and prior tax returns are NOT considered proof of 501(c)3 status. Failure to provide a copy of either of the appropriate letters will result in the price of your booth reverting to the standard exhibitor rate.  Educational institutions are do not qualify for the 501(c)3 rate.
     
  10. Exhibitors are not authorized to sell or distribute food or beverage without the written permission of the Austin Convention Center, the board of health and the Texas Conference for Women.   If you are interested in distributing food you must contact us at the time of application.  If approved, there are additional fees and permits required.

Cost to exhibit:  Costs include an in-person 10’x10’ exhibit space with (1) 6' table and (2) chairs.  20'x10' booths will receive (2) 6' tables and up to (4) chairs.  Note that in an effort to increase our sustainability footprint, we will not be including flooring with your booth.  You are welcome to bring or rent flooring, but you are not required to do so.

Cancellation Policy
Participation in the exhibit hall is non-refundable once exhibitor is approved and paid.
