10:00 am - 5:00 pm for 10'x10' booths
8:00 am - 6:00 pm for 20'x10' booths or larger (by request)

Thank you for your interest in exhibiting at The Pennsylvania Conference for Women. We look forward to receiving your application. Please read the following for important information regarding the participation process for this event. Please note that this is only an APPLICATION to exhibit. You are not guaranteed a spot unless you are accepted as an exhibitor. You will receive notification by email as to your status.

All applications will be reviewed by the Conference committee. Although consideration will be given to exhibitors who have exhibited in the past, it is NOT a guarantee of acceptance.

Applications will be reviewed by a committee approximately every two weeks. You will receive updates from us regarding your status as soon as we receive answers from the committee.

Important Information

  1. There is no deadline to apply. However, booths are approved and booth assignments are made based in part on the date of application receipt. To secure the best booth spaces, make sure to send in your completed applications early.

  2. Applications will not be reviewed without all the required information:

    • Company info
    • Product description
    • Booth photo
    • 501c3 documentation (if applicable)
    • Payment information: will be required to be submitted at the time of application. Your credit card will NOT be charged unless you are approved. You will be notified prior to your card being charged. If you select "Pay by Check", we will require payment in our offices within 10 days of approval, or your space will be released. Your exhibitor registration will not be complete until payment is received.

     

  3. All correspondence regarding your booth will be sent by email. Please add exhibitors@paconferenceforwomen.org to your address book to ensure delivery. If there is a change in primary contact, it is your responsibility to notify us as soon as possible. If you have not received correspondence within one month of the Conference, contact us immediately to determine the status.

  4. Booths include pipe & drape, one 6 foot skirted table, 2 chairs, carpet within the booth, wastebasket and ID sign per 10’x10’ space. The color of the carpet and drape will depend on the area you are assigned. If accepted as an exhibitor, you will receive notification of the location of your booth, as well as the carpet and drape colors approximately 30 days prior to the show.

  5. Conference passes are not included in the price of your booth. However, you are able to purchase one conference pass, subject to availability. You will also receive up to 3 exhibit hall passes for your staff to work your booth (per 10’x10’ space), but these do NOT allow entry into the sessions.

  6. Electricity, phone and internet access are not included in your booth package and should be purchased separately. An electronic decorating company kit will be distributed to all exhibitors which outlines ordering procedures. Please note that additional material handling fees will apply when using union labor to unload your items into the exhibit hall. Be sure to read through your kit in its entirety and make sure you understand any possible additional fees for your booth.

  7. The exhibit hall in 2019 will again focus on six main categories that highlight women owned business and companies that empower women. There will be limited booths available in each category. The booth category may be used for booth assignment. Please use one of the pre-determined categories that most closely describe your organization. If you cannot find the appropriate booth category, please select "Other".

  8. No food or beverages may be sold or distributed without the prior approval from the Conference and the Pennsylvania Convention Center.

  9. Proof of 501(c)3 non-profit status is required to obtain this specific booth pricing tier. Acceptable forms of proof are a letter from the IRS or State Tax Agency indicating 501(c)3 status. Certificate of tax exemption and prior tax returns are NOT considered proof of 501(c)3 status. Failure to provide a copy of either of the appropriate letters will result in the price of your booth reverting to the standard exhibitor rate.

Cancellation Policy
Cancellations must be requested IN WRITING and e-mailed to The Pennsylvania Conference for Women: exhibitors@paconferenceforwomen.org. Be sure you receive confirmation that we received your email. If you do not hear from us within 2 business days, call us to confirm receipt of the cancelation. Cancellations received by August 20, 2019 will receive a 50% refund. No refunds will be given after August 20, 2019.
