Exhibitor Application for the Pennsylvania Conference for Women Exhibit Hall

This year we are pleased to announce the return of the full in-person Pennsylvania Conference for Women. The show this year will be similar to our shows pre-pandemic, and we look forward to welcoming over 7,500 attendees for our FULL one day event. The attendee agenda can be found here.

Move Out:       October 19th   5:00pm-7pm ET

Please note that this is only an APPLICATION to exhibit. You are not guaranteed a spot unless you are accepted as an exhibitor. You will receive notification by email as to your status. All applications will be reviewed by the Conference committee. Although consideration will be given to exhibitors who have exhibited in the past, it is NOT a guarantee of acceptance.

We are focusing on featuring retail and service-based women-owned business, with special consideration given to local exhibitors.  We will also have non-profit area for 510c3 entities, with special consideration to those that give back to the local community.

Cost to exhibit:  Costs include an in-person 10’x10’ exhibit space with (1) 6' table and (2) chairs.  Booths will be set up in a standard format without storage.  Note that in an effort to increase our sustainability footprint, we will not be including flooring with your booth.  You are welcome to bring or rent flooring.

Important Information:

  1. There is no deadline to apply. However, booths are approved based in part on the date of application receipt and we will have LIMITED SPACE this year. To secure booth space, make sure to send in your completed applications early.  Special consideration will be given to local WOB businesses and non-profits.
  2. Applications will not be reviewed without a completed application.
  3. Payment information: will be required to be submitted at the time of application. Your credit card will NOT be charged unless you are approved. You will be notified prior to your card being charged. If you select "Pay by Check", we will require payment in our offices within 10 days of approval, or your space will be released. Your exhibitor registration will not be complete until payment is received.
  4. All correspondence regarding your booth will be sent by email. Please add exhibitors@paconferenceforwomen.org to your address book to ensure delivery. If there is a change in primary contact, it is your responsibility to notify us as soon as possible. If you have not received correspondence within one month of the applying, contact us immediately to determine the status.
  5. NOT INCLUDED with the booth:  Conference passes, electricity, floor coverings or food.  Conference passes can be purchased on our main website. Electricity and floor coverings are not included, but can be purchased.  Detailed information will be sent to approved exhibitors.
  6. Proof of 501(c)3 non-profit status is required to receive the non-profit rate.   Acceptable forms of proof are a letter from the IRS or State Tax Agency indicating 501(c)3 status. Certificate of tax exemption and prior tax returns are NOT considered proof of 501(c)3 status. Failure to provide a copy of either of the appropriate letters will result in the price of your booth reverting to the standard exhibitor rate.
  7. Exhibitors are not authorized to sell or distribute food or beverage without the written permission of the Pennsylvania Convention Center, the board of health and the Pennsylvania Conference for Women.   If you are interested in distributing food you must contact us at the time of application.

Payment accepted by credit card or check
When applying you will be asked to provide your payment type. If you select credit card, we will ask for the card information during the application process. The card WILL NOT be charged unless you are accepted. You will be notified of acceptance prior to your card being charged. During the application process you will be given the option of paying by check. If you select this option, please note that we will need payment IN OUR OFFICES within 10 business days of receiving notification of acceptance. You will be given information on where to send the check if you are approved.

We do not accept purchase orders.

Cancellation Policy
Participation in the exhibit hall is non-refundable once exhibitor is approved and paid.
