Exhibitor Application for the Massachusetts Conference for Women Virtual Exhibit Hall

Career Fair:
**NEW this year**


December 1, 2021 
The virtual career fair will take place the day before our full Conference and will be open to our full Conference community free of charge.  Tentative times for the event are 11am-2pm ET, but subject to change.

The exhibit hall will be open during this time and will focus on career resources, sponsor job postings and educational opportunities for our participants.  

Virtual Exhibit Hall Dates: December 2-17, 2021
The main Conference will be on December 2nd, with playback of breakouts and exhibit hall content available until December 17th for attendees only. 
Women Owned Business Marketplace & Community Center: December 1, 2021 - June 1, 2022
This portion of our exhibit hall is an area where we can highlight our Women-Owned Business and community / non-profit exhibitors.  This area will be set up separately from the exhibit hall, but will be linked for a seamless experience for our attendees.  

Please note that this is only an APPLICATION to exhibit. You are not guaranteed a spot unless you are accepted as an exhibitor. You will receive notification by email as to your status. All applications will be reviewed by the Conference committee. Although consideration will be given to exhibitors who have exhibited in the past, it is NOT a guarantee of acceptance.

Women Owned Business Marketplace & Community Center
This is a new area for 2021 that will allow us to highlight our women-owned business exhibitors and non-profits at a reduced cost with NO BOOTH BUILDING required.   Instead, we will be creating a space on our main website that will have a space for an image, description of your products or services, discount codes (if desired), and a link to your website.  We will be promoting the area pre- Conference, during the Career Fair and Conference as well as after the Conference to our attendees as well as our full Conference community.  Promotion will include emails, social media and call outs during our live and playback portion of our event.

Lifestyle & Learning Hub BOOTH -  including the Career Fair
This area is for higher education, non-profits and career focused exhibitors that wish to have a full, interactive booth during the career fair and the Conference.  Space will include a booth with the ability to chat with attendees 1:1 during live hours.  Images, video, documents and links can all be part of your booth.  Booth building services will be included this year to help you set up your booth in a streamlined fashion.  Exhibitors will be limited to those focusing on career, returning to work, networking, non-profit work or continued education.

Important Information

  1. You will have the ability to apply to 3 of our Conferences with one easy application. The set up for each show will be similar, but the dates, speakers and attendees will be different. Note that there will be a separate fee for each Conference you are approved for.  Here is the basic information for each show:

    Texas Conference for Women: October 7
    2020 attendance: 11,000+

    Pennsylvania Conference for Women: November 10
    2020 attendance: 11,000+

    Massachusetts Conference for Women: December 2
    2020 attendance: 17,000+

  2. There is no deadline to apply. However, booths are approved based in part on the date of application receipt and we will have LIMITED SPACE this year. To secure booth space, make sure to send in your completed applications early.

  3. Applications will not be reviewed without a completed application.

  4. Payment information: will be required to be submitted at the time of application. Your credit card will NOT be charged unless you are approved. You will be notified prior to your card being charged. If you select "Pay by Check", we will require payment in our offices within 10 days of approval, or your space will be released. Your exhibitor registration will not be complete until payment is received.

  5. All correspondence regarding your booth will be sent by email. Please add exhibitors@maconferenceforwomen.org to your address book to ensure delivery. If there is a change in primary contact, it is your responsibility to notify us as soon as possible. If you have not received correspondence within one month of the Conference, contact us immediately to determine the status.

  6. Conference passes are NOT included in the price of your booth.

  7. The exhibit hall in 2021 will focus on three areas:  Career Zone for sponsors focusing on talent acquition, The Lifestyle & Learning HUB and the Small Business Marketplace & Community Center.  

  8. Proof of 501(c)3 non-profit status is required to obtain be a part of the Community Center.   Acceptable forms of proof are a letter from the IRS or State Tax Agency indicating 501(c)3 status. Certificate of tax exemption and prior tax returns are NOT considered proof of 501(c)3 status. Failure to provide a copy of either of the appropriate letters will result in the price of your booth reverting to the standard exhibitor rate.

Payment accepted by credit card or check
When applying you will be asked to provide your payment type. If you select credit card, we will ask for the card information during the application process. The card WILL NOT be charged unless you are accepted. You will be notified of acceptance prior to your card being charged. During the application process you will be given the option of paying by check. If you select this option, please note that we will need payment IN OUR OFFICES within 10 business days of receiving notification of acceptance. You will be given information on where to send the check if you are approved.

We do not accept purchase orders.

Cancellation Policy
Participation in the virtual exhibit hall is non-refundable.
